e-faktura: The Swedish B2C E-Invoice Network

Local: Sweden

This distribution method is only available for persons (debtors) who have a bank account in a connected Swedish bank.

E-faktura is a network for sending e-invoics in Sweden to a person (B2C) that uses a connected bank. It is a collaboration between banks. The consumer/debtor will register with their bank that they want electronic invoices from an invoice sender. The sender in our context is either a Client or a Partner. The sender needs an agreement with a connected bank to e-issue invoices.

Getting Setup

Register Partner's E-faktura Sender Agreement

To send e-invoices you will need an agreement with a connected bank. At the time of writing these are: Swedbank, Nordea, Handelsbanken, SEB, Länsförsäkringar, DNB, Danske Bank and Sparbanken Syd.

When you have an agreement, this needs to be registered with the distribution service provider. Quiddly will handle this for their partners. Send a request to Quiddly support for activating B2C e-invoicing, please include the following in your message:

  • FUI (invoice sender id / "fakturautställaridentitet")
  • Agreement ID
  • Payment Accounts
  • OCR reference control level

Note that all accounts you want to use must be registered on your agreement.

Adding a Client

For a Client to use an e-faktura sender agreement:

  • The payment account for invoices sent by the client must be registered on the agreement. Make a request to Quiddly support to add the client bankgiro-account.
  • The FUI needs to be added to the Client in the Operations Portal.

Sending an B2C e-invoice

An B2C e-invoice will be sent when an invoice is created that has:

  • The distribution method on the invoice is e-invoice.
  • The Debtor is a Person in Sweden.
  • The Debtor setting allow e-invoice is enabled (this is the default).
  • The Debtor has an FMI (or it can be set at the time of invoice activation, see partner / client sections below)
  • The FUI is registered on the client

If any of these are not fulfilled the fallback distribution method will be used.

Disabling e-invoice for a Debtor

If a client wants to ensure that an e-invoice is not sent to a debtor under any circumstance, this can be achieved using the option "allow e-invoice" in the Operations Portal.

Partner or Client Agreement

The agreement can be owned by the partner or the client. These can co-exist, but it is important to understand how.

Using Partner's e-faktura Agreement

When the e-invoice is sent on the partners' agreement. The partner can have clients using their own agreements simultaneously.

Integration for Debtor Receiver Information (Enrollment)

For the partner to send an e-invoice to a person they must enroll. That is, the person must register with their bank that they want to receive e-invoices from the partner. As the sender is the partner - all clients will share the enrollment pool. An enrollment will give all clients using the partner agreement the ability to send e-invoices to the debtor.

Quiddly offer an integration in SQUID, to fetch debtor enrollments automatically. If the partner wants to handle enrollment management by building their own integration, please contact Quiddly for relevant information.

Once the integration is running the platform will automatically check if a debtor is enrolled each time an invoice is activated. The FMI (invoice receiver id) can be seen on the Clint Debtor in the Operations Portal.

If a debor withdraws their enrolment it will automatically be removed in the platform. Opt-in for one means opt-in for all, and if a person revokes their enrollment - this applies for all clients using the partners' agreement.

Invoice Should not be Created with FMI

The Finq platform supports clients owning their own agreements as well as clients sharing the partners agreements (see client agreement section below for details). What is important to know for clients using the partner's agreement is that in this case the FMI should not be supplied with the invoice import/creation, this will override the FMI for the Client Debtor, and if the supplied FMI is not enrolled on the partner's agreement the e-invoice will be rejected by the receiver's bank.

Debtor FMI Not Reusable

If the client has access to an FMI for the Debtor, the platform will not stop you from adding this to the Debtor, but it may not work, as the Debtor needs to enroll for receiving invoices from the partner.

Using Client e-faktura Agreement

When the e-invoice is sent on the client's agreement. Currently, we assume this means that the client will handle debtor enrollment management in another system. Quiddly can extend support for enrollment management to the client but this requires a development effort. The client may also choose to handle registering the agreement and accounts with the distribution service provider.

Sending Debtor Receiver Information

Only the enrolled FMI is needed on the debtor. The FMI for the Debtor can be set when creating the invoice or manually in operations portal.

When Creating an Invoice

The client provides the Debtor FMI as part of the invoice creation. The FMI thus provided will override the Debtor FMI and be available for re-use.

Manually in Operations Portal

The FMI can be set (or removed) manually on the Client Debtor in the Operations Portal.
